Archives; Closed Accounts can now be archived individually and via the Purge

Closed Accounts can now be archived individually and via the Purge wizard.

Note, it is very important that Closed Accounts are not omitted from Financial Reports. Once an Account is archived it will no longer appear in Financial Reports, i.e. Reports may be distorted. E.g., if an Account was Closed and Archived in January and a Financial summary is printed for the period including January, any transaction values for that Account will be missing. Therefore there is a Global option under Accounts, General page "Archive To" that prevents Accounts from being Archived where they included Transactions dated on or after the date entered.

Once an Account is Closed, and if it does not have Transactions dated on or after the date specified under Global Settings, there will be an additional Action for the Account "Archive Account". Clicking this action will confirm with the user that they wish to archive and then delete the Account.

Note, once archived the archived Account can still be viewed from its Clients.

Also under Global Settings, Accounts, Scripts, there are two Scripts that run as part of the Archive, "AccountArchivePre" and "AccountArchivePreInTransaction". They are intended to be used to update "User Data" on the Archive. This can be used to store any additional information regarding the Account. The script is an "Object Events" type for the "AccountArchive" object. There is a sample built-in script that demonstrates adding a simple Document, Log and Workflow summary to the User Data but note this is not run by default.

Note, there are several Permission Keys to prevent a User from archiving Accounts. They are "Account.[Class].Status.Archive", where [Class] is the Account class, e.g. "Loan".

The Purge wizard, Purge Accounts page now includes an option to "Archive 'Closed' Accounts". This will archive and delete Closed Account's closed on or before the date specified. Note, in addition this respects the Global Setting "Archive To" date.

WARNING: Please make sure you have a good backup before running the Purge, as this process is irreversible. You should consider running a test purge to check what information is lost.
